This policy explains how Edunexis Technologies Ltd (“we”, “us”) handles personal data in connection with our website at switchmanager.pro and the Switch Manager Pro platform. It is written to meet the UK GDPR and the Data Protection Act 2018. Where we process personal data on behalf of a customer, that customer is the controller and our Data Processing Agreement governs that processing.

Switch Manager Pro is a product of Edunexis Technologies Ltd, a company registered in England and Wales (company number 17288246), registered office 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom. 2. Our two roles
- As a controller — for personal data about visitors to our website, people who contact us, and the people at our customers who use the platform (their accounts and sign-in records). This policy governs that data.
- As a processor — for data we process on a customer’s instructions when they use Switch Manager Pro, such as the contents of their switch configurations. For that data the customer is the controller, and our processing is governed by our Data Processing Agreement.
3. Personal data we collect as a controller
Website visitors & enquiries
- What you send through our contact form: your name, email address, organisation and message.
- Limited technical data needed to keep the site secure and available — such as IP address and request metadata processed by our CDN and security provider.
People who use the platform
- Account details: name, work email address and role. If you sign in with Google or Microsoft, we receive your name and email address from them; if you use a password, it is held only as a hash by our authentication provider.
- Records of significant actions — for example who requested, approved or cancelled a change — kept for security and accountability.
- If you activate the offline installer: the name of your computer, a one-way identifier derived from it, and the version you run.

We do not use your data for advertising, we do not sell personal data, and we do not make automated decisions that have legal or similarly significant effects on you.
5. Personal data we process for customers (as processor)
Switch Manager Pro backs up and changes network switches. Switch configurations and outputs are mostly infrastructure detail, but they can contain personal data — for example a local switch account’s username, a port description naming a person or room, or the MAC or IP address of a connected device. When a customer searches for a device by MAC address, the search runs on their own network and only the matching result is returned to us.
What we do not do: we do not inspect or record network traffic, websites visited or message content, and we do not process special category data. Requests about data in a customer’s switches should go to that customer; we will help them respond. Full detail is in our Data Processing Agreement.
6. Cookies
Our website uses only strictly necessary cookies — no analytics, advertising or tracking — so there is no cookie banner. The platform uses essential sign-in cookies. See the Cookie Policy.
7. Sharing & sub-processors
We do not sell personal data. We share it only with the service providers that help us run Switch Manager Pro — hosting, database, email, security and monitoring — and with professional advisers or authorities where the law requires. Each is bound by a contract with data protection obligations equivalent to ours. The current list is in Annex 3 of our Data Processing Agreement.
8. Where your data is held
We hold personal data in the United Kingdom and the European Economic Area, and not in the United States. Where a provider belongs to a group based outside the UK/EEA, we use it in a way that keeps personal data in the UK or EEA. Transfers between the UK and the EEA are covered by the UK’s adequacy regulations.
9. How long we keep it
- Enquiries: only as long as needed to deal with them and keep our records, then deleted.
- Accounts and action records: for the life of the contract and a reasonable period afterwards for legal and accountability purposes (administrative audit records are kept for at least 2 years).
- Data we process for customers: on their instructions and under our DPA — normally deleted within 30 days of the contract ending.
10. Security
- Encryption in transit, and encryption at rest of configuration backups, switch logins and other secrets.
- The agent on a customer’s network connects out; nothing connects in to it.
- Each organisation’s data is kept separate from every other’s.
- Every change is approved by a person before it runs, and recorded.
- Personal data is never sent to third-party analytics or advertising tools.

11. Your rights
You have the right to access your data, have it corrected or erased, restrict or object to its processing, and to data portability. Where we are the controller, email [email protected] and we will respond within one month. If your request is about data in a customer’s switches, the customer is the controller — please contact them, and we will help them respond.
12. Changes to this policy
We may update this policy. The date at the top shows the current version, and we tell customers directly about material changes that affect them.
